The Today screen on iPhone: the workshop's name, and every job in the workshop with its plate, customer, vehicle and mechanic

Built for

HGV & trailer workshops

The DVSA safety inspection and the service sheet, tachograph calibration and annual test dates on every unit, defects that follow the vehicle.

Van & light commercial workshops

A pre-MOT check for vans, the service inspection sheet and the traffic-light health check — the same sheets, sized for the vehicles that come through the door.

Car garages

A pre-MOT check by MOT inspection section, the traffic-light vehicle health check customers understand, and a car and van service sheet.

All five sheets come with every plan. See the inspection sheets →

From the workshop that has been on it longest

We ran the workshop on a system but it wasn't flexible and designed around how we actually work. We gave Workbay a go and it's just night and day compared to other solutions. The App is what you would expect from a top tech company and it's just so easy to use. 10/10.

01 · Built where the work is

Works without signal

The App keeps working in the dead corner of the yard. Every entry queues on the device and syncs when signal returns — nothing is lost to a force-quit, and nothing is entered twice.

Works with gloves on

Pass and fail are 60-point targets, not 44. Apple's minimum assumes a bare fingertip on a stationary device; ours assumes nitrile gloves at arm's length on a trolley-mounted iPad.

Two shells, one app

A mechanic gets two tabs and big targets. The office gets five tabs and density. The same sign-in decides which — admins configure anything.

02 · The inspection sheet

Colour means something here.

Green is a pass. Red is a failure. Amber is a date falling due. Nothing else on the screen competes with them, because the inspection sheet is where a misread is a safety event. Every status carries a mark and a word as well as a hue — legible to a colour-blind mechanic in full sun.

Failures raise defects, defects carry photographs, and rectification is recorded against the vehicle — the full history is on the timeline when the inspector asks. The finished sheet is signed on the screen and lands as a PDF.

03 · On the trolley

An iPad in the bay, a phone in the pocket.

The sheet runs on the iPad. The card reader is the phone in the mechanic’s pocket — iPhone or Android, Tap to Pay needs no terminal. Both are the same app with the same sign-in, and the job moves between them as the work does.

04 · Money that stands still

Change a rate today.
Last month doesn’t move.

Every price, cost and labour rate is written onto the job at the moment it’s recorded. Updating your price list never rewrites an invoice already issued — a failure mode workshop software is notorious for, and the first thing we fixed.

Get paid at the counter.

Every plan issues numbered VAT invoices (if VAT-registered) with the job report attached. On Premium, Stripe delivers and chases them — card at the counter, Tap to Pay on iPhone at handover, bank transfer or SEPA direct debit for account customers — paid straight into your own Stripe account. Workbay decides the VAT treatment, line by line; Stripe does the arithmetic. Workbay never touches the money and adds no fee to it.

An invoice on iPhone: the total, the labour and parts split, the VAT rate and the sentence saying why that rate applies

05 · What changes

The paperwork writes itself

The job card, the inspection sheet, the report and the invoice write themselves from the work as it happens. Nothing is typed twice, nothing is looked for in a drawer.

Things that chase themselves

Estimates go out by email and come back approved with one tap. Invoices are delivered and reminded automatically. MOT and annual test dates turn amber three weeks out, so you sell the pre-test check before the customer books the test.

An app people actually use

Big targets, plain words, no training day. The mechanic gets two tabs; the office gets five. Native on iPhone, iPad and Android, and the office half in a browser.
