Inspection sheets

Five sheets,
ready on day one.

The DVSA safety inspection and the service sheet for the commercial-vehicle workshop. A pre-MOT check for cars and vans. The traffic-light health check and a service sheet. Every workshop gets all five; each vehicle only ever sees the sheets for its type.

Safety Inspection (DVSA)

The periodic safety inspection an operator's licence obliges you to keep on file, laid out the DVSA's way — the cab, ground level and under the vehicle, tyre tread depths, lamps and markings, plates and limiter, brake performance. In Northern Ireland the same sheet answers to the DVA.

Pre-MOT Check

Section by section through the MOT inspection — lamps and electrical equipment, steering, suspension, brakes, tyres and wheels, seat belts and restraints. The check to sell three weeks before the customer's test date.

Service Inspection

The service sheet: what was changed, what was topped up, what was checked and passed. Three answer shapes on one sheet, because an oil change and a brake check are not the same kind of finding.

Vehicle Health Check

The trade's traffic-light sheet. Amber is always an advisory — attention soon — and red takes the item's own severity, so a customer sees two different findings on the same brake pad rather than one alarming word.

Car & Van Service

The service inspection's three answer shapes, on a car-sized sheet.

On the trolley

Sixty-point targets. No signal needed.

Pass and fail are 60-point targets, sized for nitrile gloves at arm’s length on a trolley-mounted iPad. Every status pairs a colour with a mark and a word, so a colour-blind mechanic in full sun reads the same sheet. The whole thing runs on the device; the dead corner of the yard is not a problem.

A fail becomes a defect on the vehicle, with the photograph and the note. The sheet is signed on the screen and rendered as a PDF report.

Compliance dates

The pre-test check, sold three weeks early.

Every vehicle carries its MOT or annual test date, its tachograph calibration and its service interval — typed in off the certificate when it’s in, shown as “not on record” until then. A date turns amber three weeks out and red once it has passed, and the compliance list puts the whole fleet in that order — soonest first. That is the pre-test check, offered before the customer books the test.

Severity

One severity per item. Amber overrides it.

The author of a sheet sets one severity per item. On the traffic-light sheet an amber answer is always an advisory and a red one takes the item’s own — so the same brake pad can be “attention soon” on one visit and a failure on the next, and the defect raised says which.

Fair questions

Can a workshop issue an MOT certificate with Workbay?
No — only an approved test centre can, on the DVSA's own system. What a workshop sells is the pre-test check: the same items, checked and rectified before the vehicle goes for its test. Workbay's pre-MOT sheet is that check, and no authorisation is needed to offer one. In Northern Ireland the test itself is the DVA's.
Is the safety inspection sheet the one my O-licence needs?
It is laid out the DVSA's way and covers what a periodic safety inspection covers, marked satisfactory, defect, rectified or monitor. It is a record you keep, signed and stored as a PDF with the defects it raised — the responsibility for the inspection interval and for what is checked stays with the operator and the inspector who signs it.
Does completing a pre-MOT check update the vehicle's MOT date?
No, deliberately. A passed pre-check is not a test. The compliance date is typed in off the certificate when the vehicle is in, and only that changes it — so a reminder never falls silent because the workshop did the pre-check.
Do the sheets work without signal?
Yes. The whole sheet is on the device. Answers, notes and photographs queue and sync when signal returns; a force-quit loses nothing and duplicates nothing.
Can I edit the sheets or add my own?
Not yet from the app. The five sheets are maintained by Workbay and updated as the manuals change. If your workshop needs a sheet of its own, email hello@workbay.ie — it is the kind of request that decides what gets built next.
What does the customer get?
A PDF inspection report with the outcome, every finding, the photographs and the signature, attached to the job report and the invoice. Findings become defects on the vehicle, so the next visit starts from what was found last time.

The sheets come with every plan — see pricing.

Next step

Run a sheet on your own truck.

14 days is long enough to take a vehicle from booking-in to invoice and judge it on that. No card. Nothing charged unless you add one.
